Instruction to Delegates

  1. Regarding Accommodation

All the delegates of the conference will be accommodated in the Guest Houses and Hotels near by Haldia Institute of Technology Campus. For the purpose of arrangement of accommodation, the delegates are requested to send the following information to Prof. Debasis Giri, Organizing Chair (Email ID: debasis_giri@hotmail.com):
    1. Name of the delegate:
    2. Sex (male or female):
    3. Number of accompanying persons:
    4. Date and estimated time of arrival (to Haldia):
    5. Date and estimated time of departure (from Haldia):
The invited speakers of the conference will not have to pay any amount for the accommodation. For the others, they will have to pay Rupees per day per person. This payment can be done at the time of registration at the Conference venue.

  2. Spot registration

Delegates can register on spot at the Conference venue. For this, they have to pay the amount in CASH (in INDIAN RUPEES). It will not be allowed for any other currency or payment through credit cards. For the foreign delegates, the exchange rate will be taken to be the one prevailing on the day of the registration. The foreign delegates make the payment by bank transfer (which one is the better option than any other). The foreign delegates are required to carry a copy of the wire transfer document at the time of registration.

  3. Money exchange

In Haldia, there is no money exchange counters. The foreign delegates are therefore required to carry out the exchange before their arrival at Haldia.

  4. Reaching at Haldia from Kolkata Airport

Following are the options available (which are recommended) for traveling to Haldia from Kolkata airport.
    1. If you want to travel by train, you can take a prepaid taxi to HOWRAH STATION (approx. Rs. 250), buy a Local train ticket to Mecheda, and board the train. It will take between 1 hour and 1:30 hours to travel by train to Mechada. Our volunteers will be there at the Mecheda station to receive you and take you to the Haldia Institute of Technology Campus that is about 40 kilometers away. In case you are planning to arrive at late night, please inform us beforehand so that we can pick you up from a suitable source (which can be the better for you).
    2. If you do not like to travel by train, you can travel by car directly from the airport to the Haldia (approx. 150 kilometers). It will take about 3 hours, and the charge will be around Rs. 2500. If you want to avail this option, you will have to inform us beforehand mentioning your flight number so that we can send a vehicle to pick you up from the Kolkata Airport. You will have to make the payment directly to the car driver.

  5. Flight Information

Flights to India: Kolkata is well connected by airline services to most major cities in India and abroad. All flights, National and International, to and from Kolkata, operate from the Kolkata International Airport. Major national airline operators such as Indian Airlines, Jet Airways and Sahara Airlines have flights carrying passengers and cargo in and out of Kolkata. Besides these, most international airlines have direct flights to Kolkata from the US, Europe, Far East, and the Gulf countries.
More information about the flights from and to the Kolkata airport can be found at air-transport
If you are planning to travel around India after/before the conference, check with your travel agent for attractive local air travel offers that are usually available with your international travel ticket.
